ATTENDANCE DEPARTMENT PROCEDURES
Welcome to a new school year at Chaparral High School! We in attendance handle the daily record keeping of your student’s period attendance. Please call us when your student is late, absent or needs to be released from school. Listed below are many of the student needs handled by the Attendance Department.
Our staff is happy to assist your student with attendance printouts and questions before school, during break, or at lunch. Students are encouraged to monitor their attendance regularly. We welcome parent visits too, please call or stop by anytime during office hours.

Call the attendance recorder on each day of absence prior to 2:30 p.m.
All absences should be cleared within 24 hours of the absence or truancy will occur.
When calling, please spell your student’s legal name, reason for absence (illness, dental, doctor, court, or personal business), date of absence, your name, relationship, and a daytime telephone number where you may be reached.

Please be assured that all voice messages left on our personal extensions are retrieved regularly.

Absence Reporting & Re-Admit to school: Please call the 24 Hour Absence Line at (951) 695-4205 or send your child with a note when returning from his/her absence. Your note should include your student’s legal name, reason for absence (illness, dental, doctor, court, or personal business), date of absence, your name, relationship to student, and a daytime telephone number where you can be reached. Upon returning to school, students with notes need to receive clearance/Re-Admit slip. The Re-Admit may be picked up on his/her own time before school (best), break, or lunch.
Arriving Late to School: To avoid your student receiving any disciplinary action, please send your child to the Attendance Department with a note when late in the morning. If he/she does not have a note, and it is after 7:30 a.m., but BEFORE 8:00 a.m., they need to report directly to class; the classroom teacher handles tardiness. AFTER 8:00 a.m. students must sign-in at the Attendance Department, and receive an Admit Slip. PLEASE BE SURE TO REVIEW THE CHS TARDY POLICY.
Late to Class: The classroom teacher takes attendance within the first 15 minutes of class. If your student is tardy to class (arriving after the late bell), they may be marked absent. Students late to class should speak with the teacher so that proper attendance corrections can be made. Otherwise, absences left unverified become truancies. If there is a question, only the classroom teacher can correct period absences.
Leaving During School Hours: An Off -Campus Pass is needed when leaving during the school day. With various activities on campus, it may be difficult to reach your student on short notice so we ask that you do the following:
• Note Requests: Please send your student with a note to Attendance including date, release time, reason, signature (relationship to student), and a daytime phone number where you may be reached. Students may pick up their Off-Campus pass before school, break, lunch, or at the time of the note. Attendance clears them to leave and they meet you outside (Visitor / Flagpole area is best).
• Parent/Guardian Call/In: You may also contact the Attendance Department at (951) 695-4200 Extension 150 or 154 to make arrangements for your student’s release.
We need at least 1 hour notice to GUARANTEE your student will be released on time.
Due to the high volume of calls, we are not able to return early release requests.
Please be assured that all voice messages left on our personal extensions are accessed promptly.
• Sick Students: CHS Health Office is available to students on a pass from class, during break and lunch. Your student is monitored, and parent/guardian is contacted. A special Student Health Pass is given to expedite release through the Attendance Department.
Students leaving campus for any reason without checking out at the attendance office will be reported as truant.
Returning to School during school hours: Upon the student’s return to school on the same day, he/she must sign in at the Attendance Department, and pick up a Re-Admit slip in order to obtain credit for his/her remaining classes.
Citizenship Grade Lowering: TVUSD attendance policy has an absence limit of nine (9) days per period class per semester for unexcused absences. Students exceeding the absence limit may receive disciplinary action of grade lowering in citizenship as set forth by TVUSD BP 5113A-D and AR5113A-D (www.tvusd.k12.ca.us). The classroom teacher is the final authority.
Students withdrawing from CHS due to a move or other TVUSD school placement need to contact Virginia Dillon in the Attendance Department at 695-4200 Ext. 154. We will need the name of the new school or city/state and the last day of attendance at CHS. Please have your student come to the Attendance Department before school on his/her last day of attendance to receive withdrawal documentation.
